Terms of Service

1. Who these terms are for

Petxis is supplied by Meakes LTD (“Petxis”, “we”, “us”). These terms form an agreement between us and the business or sole trader named during signup (“you”). You confirm that you are acting for business purposes and have authority to accept these terms for that business.

2. The service

Petxis provides hosted tools for customer and pet records, appointments and selected optional modules such as grooming, daycare, dog walking, communications, payments, accounts and online sales. Your available features depend on your package and enabled modules.

We may improve or change the service. We will give reasonable notice where a material change significantly reduces core paid functionality.

3. Accounts and authorised users

You must provide accurate information, keep administrator credentials secure, use appropriate staff permissions and tell us promptly about suspected unauthorised access. You are responsible for activity by users you authorise. Accounts may not be shared between unrelated businesses.

4. Subscription, prices and payment

Your selected package, monthly price and staff allowance are shown before payment. Subscriptions renew monthly and are charged in advance through the displayed payment provider until cancelled. Optional SMS credit, transaction charges or separately priced services are not included unless expressly stated.

We may change prices by giving at least 30 days’ notice. A price change will apply from a later renewal date, not retrospectively. Taxes are added where legally required.

5. Cancellation and refunds

You may cancel through the subscription billing page or by contacting us. Cancellation normally takes effect at the end of the paid billing period, after which workspace access may end. Except where the law requires otherwise, payments already made are not refundable merely because the service was not used.

Before access ends, you should export any records you need. We may retain or delete data after termination in accordance with the Privacy Policy, legal obligations and our processor arrangements with you.

6. Your data and legal responsibilities

You retain responsibility for the customer, staff and pet information entered into your workspace. You must have a lawful basis for processing personal data, provide your own privacy information to customers and staff, respond to their rights, maintain accurate records and only send marketing messages where permitted.

For workspace data processed on your behalf, you are normally the controller and Petxis is your processor. The data-processing terms in section 7 apply.

7. Data-processing terms

We will process workspace personal data only to provide, secure, support and maintain Petxis and on your documented instructions; ensure people handling it are bound by confidentiality; apply appropriate technical and organisational safeguards; assist reasonably with data-subject requests, security incidents and compliance; notify you without undue delay after becoming aware of a relevant personal-data breach; and delete or return data at the end of the service where required, subject to lawful retention and backups.

You authorise the subprocessors described in the Privacy Policy, including hosting, backup, email, SMS and payment providers. We remain responsible for imposing appropriate data-protection obligations on subprocessors. We will provide notice of material new subprocessor categories and information reasonably needed for your compliance.

8. Acceptable use

You must not use Petxis unlawfully; upload malicious code; attempt to bypass access controls or access another workspace; interfere with availability; reverse engineer the service except where the law cannot restrict it; send spam or unlawful messages; or store information that is excessive for legitimate pet-care operations.

9. Availability, backups and support

We aim to keep Petxis reliably available but do not promise uninterrupted or error-free operation. Maintenance, internet failures and third-party services may affect availability. You should maintain sensible exports for business continuity. Support access to a workspace is limited, reason-based and audited.

10. Intellectual property

We and our licensors own Petxis, its software and branding. We grant you a limited, non-exclusive, non-transferable right to use the service during your subscription. You retain ownership of information and materials you upload and permit us to process them only as needed to provide the service.

11. Suspension and termination

We may suspend access where payment is overdue, use creates a security or legal risk, these terms are materially breached, or suspension is reasonably required to protect customers or the service. Where practical, we will explain the reason and allow a reasonable opportunity to remedy it.

12. Liability

Nothing excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, neither party is liable for indirect or consequential loss, or loss of profit, revenue, goodwill or anticipated savings. Our aggregate liability arising in any 12-month period is limited to the subscription fees paid or payable by you in that period. This section does not reduce any rights that the law does not allow the parties to limit.

13. General

If part of these terms is unenforceable, the remainder continues. Delay in enforcing a right is not a waiver. You may not transfer this agreement without our consent; we may transfer it as part of a genuine business reorganisation or sale, provided your rights are not materially reduced. English law governs these terms and the courts of England and Wales have jurisdiction.
